Overview

Your website is a way for you to generate leads. Whether they be vendors and landlords, applicants, or casual browsers signing up to property alerts, your website can generate leads in a variety of ways.

When a form is submitted online, you will receive an email to a designated email address. The contacts details will also automatically be saved in your VIA software (if you’re a Website & Lead Manager or Website & CRM Edition software customer).

How to add leads to a third party CRM system

You may want to add your leads directly to a third party CRM system if you’re not using VIA to send property alerts, marketing emails or manage your contact database. You can do this in two ways:

Email lead types & the information contained within them

The following is an overview of the information contained within the email alerts you get whenever someone submits website form online. You can use this information to forward the email to the appropriate email address.

For example, you can setup a rule(s) within your email client (Outlook, Gmail etc) to auto forward emails of a certain type based on the subject line of the email to go to a specific email. Or, use the specific wording within the fields of the email itself to setup rules to send specific emails to different addresses. eg: Valuation request emails where the Town/City field contains Chiswick to the Chiswick office’s email address.

1) Valuation Request

These are the valuation form template items which can be added to any CMS page.

When submitted, an email will be sent to the designated email address within the item. You can edit/view this in the items section of VIA. The email will contain the following information:

From: propertynotification@webdadi.net

Subject: New valuation request from your website

Body Text: You’ve received a call me back request from the following website page

Contains the following information:

2) Instant Valuation Request (only available to those using Webdadi’s Instant Valuation plugin)

This is a plugin which is installed on the website to allow visitors to request an instant valuation. Please note, this information only applies to Webdadi’s instant valuation plugin, if you’re using a third party instant valuation tool you will need to consult them as to the information regarding how they deliver leads.

When submitted, an email will be sent to the designated email address within the item (labelled instant-valuation). You can edit/view this in the items section of VIA. The email will contain the following information:

From: propertynotification@webdadi.net

Subject: You’ve received a new Sales (or Lettings) instant valuation request

Contains the following information:

Vendor (or Landlord) Details

Property Address (of the property to be valued)

Additional Notes

3) Call me Back Request

These are the call me back form template items which can be added to any CMS page.

When submitted, an email will be sent to the designated email address within the item. You can edit/view this in the items section of VIA. The email will contain the following information:

Subject: New call me back request from your website

Body Text: You’ve received a call me back request from the following website page

Contains the following information:

4) Property Alerts Sign Up Form Item

These are the property alert sign up form template items which can be added to any CMS page.

When submitted, any email will be sent to the nominated applicant email address (your default address). The email will contain the following information:

From: propertynotification@webdadi.net

Subject: New Website Lead

Body Text: A new applicant has signed up to receive email property alerts using your website.

Contains the following information:

5) Office Contact Us Forms

These are the forms which appear on the standard office page template. When submitted, an email will be sent to the office’s department email address that is assigned in the Offices section of VIA. The email will contain the following information:

Subject: New Call Me Back Request From Your Website

Body Text: You’ve received a call me back request from the following website page

Contains the following information:

6) Arrange a Viewing Request

These are the forms which appear on the property listings pages.

When submitted, an email will be sent to the office’s email address that is assigned to the property. You can edit/view this in the Offices section of VIA. The email will contain the following information:

Subject: Virtual or Live Viewing Request
